Executive Assistant III

Report to: Director of Legal Hiring      

Location: 69 W. Washington

Classification: Grade 20/Full-time/Union   

Bureau: Administrative Services Bureau

Deadline Date: February 13, 2020                            

Primary Function: Provide administrative support to the Director of Legal Hiring.                 

Duties and Responsibilities:

  • Maintains open and positive relationships with administration, staff and career service partners
  • Preserves confidentiality of information
  • Answers and forward calls/inquires within the division
  • Maintains on campus recruiting schedule for local/out of town recruiting events and on campus interview programs
  • Prepares recruitment packets
  • Maintains schedule for Director of Legal Hiring and Human Resource specialist
  • Coordinates hiring process from end to end for all aspects of legal hiring including but not limited to daily check of hiring mailbox, forwarding of candidate information to administration for review, scheduling interviews, create and maintain applicant file, organize evaluations, ensure evaluations are completed, track all applicant information and necessary follow up
  • Prepares Swearing In Ceremony materials
  • Maintains data on interns/law clerks
  • Tracks attorney offers,  acceptances and rejections
  • Updates and maintains all attorney hiring data base information
  • Prepares the report for yearly hiring statistics for the NALP
  • Maintains hiring procedures
  • Coordinates with Human Resources regarding hiring/onboarding
  • Performs additional duties and responsibilities as needed or required


  • Interacts regularly with State’s Attorney’s Office employees
  • Interacts with outside agencies
  • Regular access to confidential information

Qualifications: The candidate must have excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task.  Proficiency in Microsoft Word applications required.  Typing of 50+ wpm preferred.
